A travel folder should answer practical questions: who are you booked with, where are you staying and who can help? It does not need to contain every private record. Keep enough information to recover a disrupted journey while protecting sensitive identity details.

Choose the documents by purpose

Include current booking references, accommodation addresses, transport contacts and insurance assistance details. Add relevant entry or care documentation required for your specific trip. Check that names and dates are accurate. A copied passport may help with a report or application but does not replace the valid travel document required to cross a border.

  • Use a clear date on the contact summary.

Keep copies separate and secure

Have an appropriate offline or paper backup rather than storing everything in one handset. Consider what happens if a bag is lost, and share selected information with a trusted person with consent. Protect digital copies using security you understand, and avoid sending identity images into a large group chat simply for convenience.

  • Keep originals protected from rain and accidental damage.

Review before every trip

Entry requirements, bookings and emergency contacts change. Use current official destination guidance and the relevant provider's instructions instead of reusing an old folder without checking it. Remove obsolete papers that could confuse you or a helper. If plans change during the trip, update the practical summary and tell the trusted person holding your backup.

  • Keep the insurer's assistance number easy to find.
