A passport copy can help you organise a report or application, but it is not a replacement travel document. Before travelling, keep a secure record and know where to find your government's official assistance route if the original is lost or stolen.

Keep a secure record

Store appropriate passport and itinerary information separately from the original, using a method that protects personal details. Give a trusted person access only where necessary and agreed. Keep accommodation and travel assistance contacts outside the phone too, because a lost bag may contain both the document and the device used to find help.

  • Avoid posting identity images in public or large group chats.

Use the official process

British travellers should follow current GOV.UK instructions about lost passports and emergency travel documents where applicable. Requirements, processing and acceptance depend on the circumstances and route. Check the rules for every country involved before rebooking, and do not assume that a police report or copied passport will be accepted at a border.

  • Use the relevant government service rather than an unsolicited agent.

Coordinate the changed journey

Tell the travel provider, accommodation and insurer as appropriate and keep records of advice and spending. Notify a trusted contact of confirmed changes without sharing sensitive document details unnecessarily. If you are another nationality, use your own government's consular guidance; UK procedures are not a universal replacement process for travellers in Europe.

  • Update the travel folder once new arrangements are confirmed.
