A community plan can look fully staffed while its key people are all travelling for a holiday or school break. A simple availability review helps prevent that gap without making volunteers feel permanently on call.

Review essential roles only

Identify the tasks that genuinely need a named person, such as maintaining the contact route or opening an agreed venue. Ask volunteers whether they are available and what they can realistically do. Keep travel and absence details private; the public plan only needs the current contact arrangement, not a calendar of empty homes.

  • Do not assume last year's volunteer list is still valid.

Give the backup the right information

A backup needs current instructions, authorised access and the limits of the role. Check any training, insurance or organisation requirements before handing over a task. Do not give keys or sensitive records to an unprepared person simply to fill a rota. If no suitable backup exists, reduce the promised service and tell the relevant coordinator.

  • Confirm who can make a decision to suspend an activity.

Communicate changes clearly

Update the working plan and any public contact notice with a date. Tell the local authority or partner organisation where the agreed liaison has changed. After the holiday period, confirm the normal arrangement has resumed and remove temporary access where appropriate. Use any difficulty to improve the next review, rather than treating an unavailable volunteer as someone who failed the community.

  • Keep commitments voluntary and proportionate.
